Be An Exhibitor

The 2019 Living Beyond Breast Cancer Conference is a national conference that welcomes individuals impacted by breast cancer, their families, caregivers, and healthcare professionals from all over the country and beyond. By exhibiting at this conference, you can showcase your products and services to more than 400 potential clients and show them how your business or organization can help. The 2019 conference will be held at the Philadelphia 201, in Philadelphia PA.

Exhibitor Rates Include:

  • 6 x 30 ft. table with skirting and table cloth, 2 chairs and one small waist basket at conference
  • 2 complimentary registrations for representatives to host their exhibit table and attend the conference including all conference related activities and meals. Registrations for any additional representatives may be purchased for $75.00/person
  • Listing as an exhibitor on conference website with live link to exhibitor's website
  • Listing as an exhibitor on conference program

* Please note exhibitors are responsible for all shipping, receiving and storage costs (as applicable) to and from and at the conference hotel.

Important Information for Exhibitors

Exhibit Set-up
Exhibits must be contained to their 6-ft. space. No exhibit may overflow into an aisle or a booth occupied by another organization. If more space is needed, you must purchase an additional table. Please contact Sharon at to find out pricing for additional tables.

Dismantling of Exhibits
The dismantling of exhibits, which includes packing of literature, is NOT permitted until the official close of the conference on Saturday, September 21, at 6:00 p.m., unless otherwise approved by LBBC prior to the day of the conference.

Exhibitor Information and Exhibitor Kit
Exhibitor Information, including the exhibitor kit, will be available online for all approved exhibitors. The exhibitor kit will include all of the specifics of exhibiting successfully at the 2019 Living Beyond Breast Cancer Conference, including regulations, guidelines, shipping information, AV information and on site delivery of materials. Exhibitor Materials & Gift Item Shipping Information
Shipping instructions will be included in the exhibitor and/or tote bag gift item instructional kit. Instructions for shipping will be detailed in this kit. 

To assist you in maximizing your investment, exhibitors are permitted to sell their products/services in the exhibit area. The exchange of checks, credit cards, and cash for a product or service is permitted. LBBC is not responsible for any monetary exchange. LBBC requires exhibitors to engage in a “soft sell” approach in the exhibit hall. “Hard sale tactics” are not permitted. Exhibitors are responsible for purchasing electric, internet access or other equipment required to operate credit card machines, laptops, etc. from the hotel separately.

Exhibitor Meals
Meals are included with the 2 complimentary registrations for your representatives. Registrations for any additional representatives may be purchased for $75.00/person and would include all conference related meals.

Giveaways, Raffles, Drawings
All exhibitor giveaways, raffles, and drawings are the responsibility of each exhibitor and not the responsibility of LBBC. Vendors are responsible for conducting raffles from their tables only and drawing and distributing prizes to the winners. LBBC will not provide materials for the raffles and will not announce winners’ names. If you are interested in donating a raffle prize to the conference, please contact Sharon Sood at

Name Badges
Personalized name badges, flagged with a ribbon reading "EXHIBITOR", will be available on-site for your two registered exhibitor representatives only. Any exhibitor representative without a name badge will not be permitted to participate in conference activities.

Hotel Room Block

The conference will be held at The Philadelphia 201 We have secured a block of sleeping rooms with a discounted rate of $179.00 plus 16.37% tax, per night. To get this rate, mention Living Beyond Breast Cancer at the time of making your reservation. Availability is limited. The deadline to receive the discounted sleeping room rate, if it is available, is August 19, 2019.

Gifts for Tote BagsIn addition to exhibiting at the conference, you may also include one gift in the tote bags given to all attendees (upon approval from Living Beyond Breast Cancer). The rate for including a gift item in the conference tote bags is below.

How to ApplyApply to be an exhibitor at the 2019 Living Beyond Breast Cancer Conference by completing our online application form. Once your organization is approved, you will be emailed an invoice and a link to access the Exhibitor Information Kit online. An approval of your exhibitor application does not hold a table for your organization. A space will not be held for your organization until your payment is received.

PaymentPayment is due by Friday, September 6. Refunds will not be given for exhibitor fees. Exhibit space will not be held for your organization until payment is received.

Payment can be made in three ways.

  1. Complete the bottom of your invoice using a credit card and mail it to the below address.
